Social Media Competitions

  1. Employees of The South Glos Food and Drink Festival and any party included in the competition or their family members or anyone else connected in any way with the competition or helping to set up the competition shall not be permitted to enter the competition.
  2. The prize is non transferrable and non-exchangeable. There is also no cash equivalent.
  3. Closing date for entry will be stated. After this date no further entries to the competition will be permitted.
  4. No responsibility can be accepted for entries not received for whatever reason.
  5. One entry is permitted per person. Multiple entries will not be counted.
  6. The South Glos Food and Drink Festival reserve the right to cancel or amend the competition and these terms and conditions without notice. Any changes to the competition will be notified to entrants as soon as possible by The South Glos Food and Drink Festival.
  7. The South Glos Food and Drink Festival are not responsible for inaccurate prize details supplied to any entrant by any third party connected with this competition.
  8. Winners will be chosen at random by The South Glos Food and Drink Festival and the result is final.
  9. The winner will be notified via Social Media. If the winner cannot be contacted or do not claim the prize within 7 days of notification, we reserve the right to withdraw the prize from the winner and pick a replacement winner.
  10. The tickets will be posted to the winner. The South Glos Food and Drink Festival hold no responsibility for lost or stolen prizes.
  11. The winner agrees to the use of his/her name and image in any publicity material. Any personal data relating to the winner or any other entrants will not be passed onto a third party.
  12. Entry into the competition will be deemed as acceptance of these terms and conditions.
  13. Social media competitions are in no way sponsored, endorsed or administered by, or associated with, Facebook, Twitter or any other Social Network. You are providing your information to The South Glos Food and Drink Festival and not to any other party. Admittance to The South Glos Food and Drink Festival, permits the organisers to use any photos and media of visitors to be used for future promotional material.

Exhibitor Terms and Conditions

  1. The Exhibitor Application Form is merely an ‘Invitation to Treat’, the point of contract shall be when payment has been received and a confirmation email has been received.
  2. The Organisers of SGFF reserve the right to refuse entry should any details given on the Exhibitor application be incorrect. This is with reference to details of goods / display of which a full and accurate description must be provided. Any material deviation from this description may lead to the trader being asked to leave the event and any refund will be entirely at the discretion of the Organisers. 
  3. The description of what is considered acceptable for sale at this family event remains at the discretion of the event organisers.
  4. Suspicion of counterfeit goods, ‘Legal Highs’ or smoking paraphernalia, being traded or the sale of restricted goods to minors will result in ejection from the event.
  5. The organisers’ decisions regarding stall acceptance and layout are conclusive. Although diligent efforts will be made to accommodate the needs of the stall holder, SGFF cannot guarantee a specific position within the event space.
  6. No exclusivity of trades is offered or implied without prior arrangements.
  7. As a SGFF Exhibitor, you permit the event to take photos and media to be used within future promotional material.
  8. No Exhibitor may sublet any part of the site duly allocated without prior consent from the organisers.
  9. No part of the stand, including vehicles, can exceed the allocated site. Please ensure that all marquees, tents, awnings, guy ropes, tow bars etc. do not obstruct any adjacent site or stand. Please ensure that contractors erecting tentage or equipment observe this regulation.
  10. Hot and Cold Food traders are not permitted to sell any type of drink and must only sell the agreed menu sent in application.
  11. Alcohol sales at the stall are restricted to off-licence transactions only, and open vessel sales are strictly prohibited. Off-licence retail stands serving alcohol must not have any means to open the product on their stall. Tasting and sampling are permitted, all bars are operated in-house. Anyone selling alcoholic beverages must have had training from a personal licence holder if they don’t hold one themselves. 
  12. All vehicles entering the event on trading days must display a pass. Site speed limit for all vehicles is 5mph.
  13. All sites must be staged, manned and open to the public for the times provided by the festival.
  14. Exhibitors are required to refrain from dismantling or relocating stands before the event’s closing time. In the event of stock depletion, kindly leave your stand intact, showcasing promotional materials for your business, along with a ‘Sold Out’ sign. Non-compliance will be documented, and subsequent applications may face refusal. 
  15. Vehicle access to the site for pitch dismantling is restricted until the festival concludes on Sunday when the event closes. 
  16. All exhibitors must be vacated by 00:00 Sunday, the day the event concludes.
  17. Set up instructions will be issued to stallholders prior to the event. All site rules are at the discretion of the organisers.
  18. During public opening hours at the event (Saturday 11:30- 21:00, Sunday 11:30 -19:00), no vehicles are allowed on site unless they are integral to the stand and can be accommodated within the designated stand space. Producers must seek permission from the festival organisers to include a vehicle as part of their stand space. The granting of permission is at the discretion of the organisers.
  19. Exhibitors are responsible for clearing their site of any debris, including grass cuttings if the area has been mowed. Failure to remove any rubbish may result in additional charges.
  20. No Exhibitor shall call attention to their goods or services or use any amplification equipment or any machinery to cause annoyance, unless with Event Organiser Consent. 
  21. The selling of goods by auction is prohibited. Any organisation wishing to make appeals for contributions or to operate a draw, raffle, tombola or such like, must obtain written permission from the Event Organiser in advance of the event. In any event, appeals will not be permitted from outside the confines of the allocated stand.
  22. Smoking is not permitted within the marquees, trade stands or other tented areas.
  23. The Organisers offer no warranty as to the public response to the event or to the level of business likely to be generated. The Exhibitor should not enter into any contract as a result of any representation or warranty given or made on behalf of the Organisers.
  24. Large scale promotional & sampling activities are only available by prior arrangement with the organisers – if in doubt, please ask.
  25. Any member of The Showman’s Guild opening at SGFF agrees to do so outside of the Showman’s Guild two-year ruling.
  26. Frequencies of mobile radio equipment must not conflict with event equipment.
  27. Electricity can be booked through the organisers prior to the event at an additional cost. However ,LPG generators will be allowed onsite with prior consent granted  by event organisers. Please ensure all electrical equipment used at the festival has a current PAT certificate under regulation 4, 5 and 6 of the Electricity at  Work Regulations 1989 (EAWR). Please note, no petrol & diesel generators are permitted onsite.
  28. It is not possible to provide water connections to individual stalls, however there is a standpipe with drinking water for consumption on the event site. Traders must provide their own water containers for water transportation.
  29. No camping is available onsite.
  30. Any exhibitor who cancels his reserved site, for whatever reason, shall forfeit all fees paid and SGFF shall reserve the right to re-let such sites.
  31. Trader Vehicles can use the allocated car parking area for free for the duration of the weekend.
  32. The Organisers retain the right to cancel a booking without reason. In such circumstances the fee paid will be returned in full, but no other claims will be entertained. This applies when a trader refuses to accept any space allocated.
  33. If the event has to be cancelled, interrupted or curtailed for any reason, the Organisers shall not be liable to make good any loss incurred by any party booked for the event. It is advised that you take out appropriate insurance protection against risk of cancellation or abandonment.
  34. Any exhibitor who cancels his reserved site, for whatever reason, shall forfeit all fees paid and SGFF shall reserve the right to re-let such sites.
  35. If the Exhibitor passes are lost or forgotten, please contact the organisers on eat@southglosfoodfest.co.uk before the event.
  36.  All exhibitors including non-food/drink must provide organisers with a risk assessment prior to the event. Templates can be requested from eat@southglosfoodfest.co.uk if required.
  37. All Exhibitors must comply with all relevant food safety and health and safety legislation of which they must make themselves aware. Vendors are required to prominently display relevant food safety certifications (food hygiene star rating, and temperature sheets), have HACCP documentation available (or similar where applicable) at their stalls. 
  38. All traders handling food are expected to have at least a Level 2 Food Hygiene Certificate.
  39. Every stall must adhere to Health & Safety Standards in accordance with the Health & Safety at Work Act 1974. As the venue is on grass and not paving, it is mandatory for all gazebos to be securely pegged down and appropriately weighted.
  40. It is the condition of participating in the event that exhibitors are conversant with, and abide by, the food safety (General Food Hygiene) Regulations 1965 and the Food Safety (Temperature control) Regulations 1995.
  41. Only the amount of LPG gas required by any trader/exhibitor for the purpose of the event will be allowed on site and these must be restrained or a post or purpose-built stand and not transported during the event. Anyone using LPG gas must ensure this is included in their risk assessment. All LPG gas equipment MUST have current relevant gas safety certificates and the organisers MUST be provided with a copy. Kindly verify that your Gas Certificate has undergone inspection by a Gas Safe Registered Engineer who holds authorisation to certify catering units and setups. You may independently contact the Gas Safe Register at 0800 408 5500, providing the name and registration number of the engineer listed on your Gas Certificate for verification purposes.
  42. Stalls using a Deep Fat Fryer must have a Fire Blanket and Wet Chemical Fire Extinguisher to hand. 
  43. All electrical and gas equipment must be satisfactorily shielded from the public and comply with current health and safety regulations and have been PAT tested with a current sticker/certificate. 
  44. Fire extinguishers are provided in the venue, but all traders must supply their own firefighting equipment appropriate to their activities and brief their staff as to action to be taken in the case of fire or other emergency.
  45. Stalls may be inspected by Environmental Health, Trading Standards Officers, or any other professional body. 
  46. Please note it is a requirement of the local council that all traders handling open food just have adequate disinfection and handwashing facilities on their stall. 
  47. All food and drink traders must prominently display an allergen notice on their stall throughout the festival. This serves to inform customers about potential allergens in their food or drink or encourages them to inquire about any allergens. 
  48. Stallholders are required to ensure the insurance coverage for their own property and must possess valid public liability insurance, (with a minimum coverage of £5 million for those serving hot food.)
  49. Stallholders must give details of insurance cover as part of the booking procedure and provide certificates for inspection. Where appropriate stallholders must also hold Product and Employer Liability Insurance. 
  50. The Organisers disclaim all liability for any accident, injury or loss howsoever caused except for personal injury or death arising from the negligence of its employees or agents.SGFF shall not be held responsible by stallholders for any injury, loss, liability, damage, theft, or destruction of any exhibit, goods, property, or equipment. 
  51. Traders who choose to leave product or equipment on their stalls overnight do so at their own risk. 
  52.  All stands must clearly display their registered business name, business address and have comprehensive indemnity insurance to cover all risks. SGFF does not accept any responsibility whatsoever for the safekeeping or security of any property. All Exhibitors must be able to prove on demand that they are adequately indemnified to cover all claims and they are reminded that liability for death or personal injury cannot be disclaimed.
  53. Stallholders are always accountable for the security of their exhibits and property, and it is recommended that they obtain insurance coverage for their exhibits to safeguard against potential loss or damage, including the risk of fire.
  54. Access to the stand must be always provided to the organisers and H&S staff for inspection purposes.
  55. The organisers disclaim any responsibility for accidents, damage, or loss incurred by any stall holder or their articles while entering, leaving, or during the duration of their presence on the showground.
  56. If you consider you have been unfairly treated in any way, please make your complaint in writing within 28 days after the event, to SGFF.
